WI for International Agent Appointment and Monitoring

Below procedure will be followed by AMERICO  while appointing a new agent

  1. Application form received from agent with all details
  2. Initial briefing online meeting done with agent
  3. Risk assessment will be carried out for the scope and location considering below points

Checklist for risk assessment of new entity

  • Ownership and owners and their relationships (business and other).
  •  Related businesses, including relationships with consulting companies.
  • Criminal records of owners and entity – clean records.
  • Potential issues with authorities, violations, acts, bans, tax records, social security records. – Former relations with other CBs, if any, current status, reasons for termination of relationships. –
  • Number of employees on record, including external resources.  Scopes of competence of auditors, auditor files, current contracts.
  • Financial stability
  • Indemnity insurance will be taken for the new office for the particular country if not included in Head office .
  1. Legal documentation will be checked for the office and related activities
  2. Scope identification is done
  3. Marketing office / Application review.
  4. Agent Agreement is prepared between the Head office and international office
  5. Intimation to be given to accreditation body  for new international location 
  6. Remote training will be done for all employees as per their role and competencies required
  7. Exam will be taken for all employees as per their role
  8. Competency evaluation of all employees will be done
  9. Registration of auditors will be done for the new location by India HO and as per AMERICO HO procedure
  10. Approval of auditors is done and EA Codes are allotted
  11. Other functions like appointment of auditor, auditing, technical review , certification decision will be taken by India Head office only
  12. AMERICO will conduct first remote /onsite internal audit at International location within 2 months of starting of location
  13. AMERICO will conduct witness audit of all auditors in the location for the first audit
  14. Internal audit will be done on annual basis for international location for marketing agent scope and on 6 monthly

AMERICO shall establish a legally enforceable agreement with the candidate entity to including

i) That the candidate entity shall conform to the applicable requirements including legal status, impartiality, competence requirements, process requirements and with the CB’s management system, to the extent that the candidate entity is involved in the delivery of certification services.
• The candidate entity shall operate within the AMERICO management system and/or under its own accreditation.
• As needed, based on the risk assessment, additional controls shall be defined and implemented.

ii) The entity is subject to audit by AMERICO on an annual The audits shall include all activities performed by the entity on behalf of the AMERICO. The audit frequency and methodology shall depend on the risk assessment and the results of previous audits.

iii) Mandatory annual reporting on key performance indicators (KPIs), including those specified in IAF MD 15: IAF Mandatory Document for the Collection of Data to Provide Indicators of Management System Certification Bodies’ Performance.

iv) Provision of access to control and monitoring by UAF as deemed necessary.

v) Details of the activities to be provided by the entity.

vi) Responsibilities, authority and liability of each party.

vii) Provision of resources, training, continuous professional development.

 viii) Intellectual property and protection.

ix) Before outsourcing any activities it performs on behalf of AMERICO, the entity shall obtain the agreement of AMERICO.

AMERICO shall report to UAF all established entities’ operations and the markets in which they operate. In cases of termination of the agreement, AMERICO  shall inform UAF with the reasons of termination.

AMERICO monitors the ongoing performance of the entity, including internal audits, (including witnessing audits that may include on-site, remote or a combination of methods) of the entities to the relevant accreditation requirements of the AMERICO  management system, AMERICO  Governance Documents and other applicable documents in relation to the activities performed on behalf of the AMERICO
